Customer Guidelines

For the Dedicated Sponsor Email (DSE) you have two options on how these are created. 

  • Option 1 – You send us components you wish to include in the DSE, and we will build the email for you in our DSE template
  • Option 2 – You can submit a “ready-to-mail” HTML file

In both cases, we will send you and your team a test email to review and approve.  The guidelines for each option are below along with some best practices that apply to both options – please read them carefully and contact your account manager if you have any questions.

Tips for all Dedicated Sponsor Emails: 

  • Customers must follow CAN-SPAM Act
  • Don’t use deceptive subject lines. Subject lines should accurately reflect the content of the message.
  • Identify the message as an ad. The law gives you a lot of leeway in how to do this, but you must disclose clearly and conspicuously what your message is. Your subject line should clearly describe the value people can expect to find in the email. The key is to be certain the subject line is not misleading in any way. For example: Do not send advertising e-mail with false or misleading headers or subject lines such as "Lucky you! You have won the Irish Sweepstakes!" It must clearly state what the email is, such as “End of Year Tax Incentives When You Buy a Cat Machine.”
  • All emails will come from our brands. The "from" email will be mail@cahaba-media.com.com.
  • The unsubscribe link will be provided by us in the footer of the email.
  • Avoid words that are considered spammy, see examples
WHAT WE NEED FROM YOU:

Elements needed to build DSE with template

  • Subject line — 50 characters. Use this to grab their attention but make it fitting to the actual message
  • Pre-header – 100 characters. This will appear below the subject line in email clients which support a pre-header.
  • Test email addresses - Up to three email addresses that will receive a preview/test email for approval.
  •  Headline - 150 characters
  •  Body copy – 1500 characters
  •  Body copy #2 (optional)  500 characters + image
  •  Body copy #3 (optional)  750 characters
  •  Call-to-action text and URL 20 characters 
  • Images:
  • Hero image 640 x 320 pixels 
  • Secondary image (optional) 320 x 320 pixels  
  • Company logo (optional) 100 pixels wide min to 1200 pixels wide max

Tips for building HTML
  • Make the html and/or images no more than 650 pixels wide so the viewing can see the full width of the email
  • Use image alt tags
  • Include a plain-text alternative version for those who have images turned off
  • Images should be hosted on your server – be sure to use fully qualified URL's for image SRC reference
  • Test email in multiple email clients to ensure maximum compatibility
